Higher Secondary Practical Score Sheet Creator

The practical examination which is conducted as part of the March 2018 board exam of the Higher Secondary students is around the corner. Preparing the score sheet and sending it to the Directorate is really a more arduous task than conducting the exam and fixing the score. Meticulous care is very much needed in this exam work. Usually the mark sheet is prepared after lot of corrections and editions. It is said that marks should be entered online this time. Still the link is not yet made available. Along with the online entry, hard copy of marks should be prepared to be sent as done in the previous years. The software called Practical Score Sheet Creator would enhance the faultless performance of the work. It is set in Microsoft access. With this, getting an accurate and clear report would become a matter of simple and short span activity.

How to use Practical Score Sheet Creator

To enter the details in the practical score sheet, 3 buttons are available.
1.Basic details:
It is mandatory to fill all the fields in this screen. The code number of parent institution and exam centre be entered carefully. If the code is not known, click -‘Find’ straight to it and search. Maximum marks can be selected from the combo box or it will not be possible to enter score. Give the date on which the exam was conducted in the place of ‘Date(s) of Exam’. If the exam had been conducted for more than one day, entry of the exam commencing date and finishing date would do. For eg: 18/02/2018 – 22/02/2018.
The first and the last register number of the students who have registered for the exam in the subject should be entered against ‘Range of Register Numbers’. In the case of any break in the numbers, the various range of numbers should be entered separately with a comma. Eg: 9002001-9002048, 9002051-9002058, 9002060.
2. Manage Register Numbers
Special attention is needed while handling this section. Here, the register numbers of the students who have registered for the practical exam conducted should be added. For doing this, click the button – Add Register Number after giving the first and the last register number. For instance, enter 9002001 in the first column and 9002060 in the second column, before pressing the button – Add Register Number. Then, the numbers of all the students from 9002001 to 9002060 would be generated.
There is a possibility for a break in numbers if the students appeared for the first year exam and not registered for their second year exam or if the students who did not qualify the exam early, are appearing for the exam. Such cases can be rectified by Adding the Reg. Number in different series. For Eg: In the series 9002001-9002060, the three numbers – 9002049, 9002050, 9002059 are not there. Here, it can be done by Adding three times ie enter first time - 9002001-9002048, second time – 9002051-9002058 and third time – 9002060-9002060 and then Add. Instead of this, complete series can be added at first and the ‘break’ number can be deleted. To delete it, press the button ‘Delete Register Number’ after giving the ‘break number series’. To add or remove only one register number, it is enough to enter that number itself as the first and the last number. Never remove the register number of the absentees for it has to be recorded in the score sheet.
3. Score Entry
This page would display all the numbers generated. At first confirm that the numbers are correct otherwise you should - go back- to correct. Once it is confirmed, scores should be entered. ‘Capital AB’ should be entered against the score column of the absentees. If the score obtained is in single digit, it is sufficient to enter that digit only. There is no need to prefix ‘0’ before the digit. For eg: provided the score of a student is ‘9’, just entering 9 in the score column will be enough. No need to add 09. The work is over with the entry of the score. Next job is to take the print outs for sending it to the Directorate.
4.Reports for DHSE
Now you will get an accurate score sheet conforming to the instructions from the Directorate. The scores here would be in words and figures. “_” would appear beside the single digits. Total, Absent etc will be recorded in red ink.
The facilities included in the software may be helpful when there are no means for colour print out. You can take a print out by leaving the ‘Total’ and ‘Absent’ columns blank and later it can be written in red ink.
It is preferred to take a print out of it with all entries including Total and Absent column filled nevertheless the print out is black and white. The print out of the same shall be taken again with these columns unfilled. This would be much easier for copying down the entries from the first print out where all columns are duly filled. Besides, the filled print out can be kept as a personal copy. It must be remembered that each page of the score sheet to be sent to the Directorate bears the signature of the teacher, verify the checklist as per Annexure19. Then get the print out of the Envelope slip and separate the slip into 2 parts as marked on it.
The first part is for pasting it on the score sheet. This should be pasted and put into another envelope before writing address. The other part of an envelope slip can be used as an address slip for the outer cover. It is not compulsory. It can be hand written if one desires to do so.
Since it is done in connection with the board exam and it may affect the future of the students, you had better check the reports several times before sending it to the Directorate. Utmost care is paramount while doing this vital job and use the software at your own responsibility.
